How to set up a laptop as a full-day workstation
A laptop bolts the screen to the keyboard, so OSHA's monitor line and its keyboard line cannot both be true at once. There are two honest fixes for that — raise the laptop, or add a monitor — and both end the same way: the keyboard comes down to your elbows.

A laptop is one device doing the job of two, and the two jobs want to live in different places.
A screen wants to be up, near your eye line. A keyboard wants to be down, near your elbows. On a desktop those are two separate objects and you put each where it belongs. On a laptop they are welded together about an inch apart, which means you get to satisfy exactly one of them. Sit so the keyboard is right and the screen is a foot too low; raise the screen to eye level and the keyboard is up around your sternum. No chair, no cushion and no seat height fixes this, because the problem is not your posture — it is the shape of the object.
So “how do I set up my laptop?” has a slightly annoying honest answer. You do not set up the laptop. You take it apart into the two objects it was pretending to be, and there are exactly two sensible ways to do that.
The conflict, in OSHA’s own words
Two published lines, from two pages of the same OSHA computer-workstations eTool, pin the problem down precisely.
On monitors: “the top of the monitor should be at or slightly below eye level”, with the center of the screen “15 to 20 degrees below horizontal eye level” and the whole thing “between 20 and 40 inches” from your eyes.
On keyboards: “elbows should be about the same height as the keyboard and hang comfortably to the side of the body”, wrists straight and neutral.
Now hold a laptop and try to obey both at once. The screen sits a couple of inches above the keys. If your elbows are level with the keyboard — the keyboard line satisfied — the top of the screen is somewhere around your navel, nowhere near eye level, and you read it by tipping your head down and forward. Prop the laptop up instead until the screen top reaches your eye line — the monitor line satisfied — and the keyboard has risen with it to somewhere near your chest, where typing means holding your arms up all day. The two lines are an inch or two apart on the object and about a foot and a half apart on your body. You cannot serve both from one hinge.
Why you can’t just split the difference
The tempting move is to compromise — set the laptop at some middle height where the screen is not too low and the keyboard is not toohigh. It feels reasonable, and it satisfies neither line, which is the part people miss. A compromise height leaves the screen below OSHA’s band, so your head still tips forward to read it, and it leaves the keyboard above your elbows, so your shoulders still lift to reach it. You have not solved half of each problem. You have kept both, at reduced intensity, for the whole working day.
The monitor figure and the keyboard figure are describing two different objects at two different heights, and the only way to hit both is to have two different objects. That single fact splits into the two working setups below. Either you make the laptop into the raised screen and add a low keyboard, or you add a raised screen and let the laptop become the low keyboard. Both end with a keyboard at your elbows; they differ only in what is doing the seeing.
Fix A: raise the laptop, add a keyboard below it
This is the setup for when the laptop is your only screen — no second monitor, and you would rather not buy one.
Put the laptop on a stand tall enough that the top of its screen lands at or slightly below your seated eye level, per the OSHA monitor line. For most seated adults that is more lift than a book or two provides, which is why we rank laptop stands on how far up the screen actually goes, and why an adjustable stand that reaches your eye line beats a fixed riser that stops short of it. Work out the target height first from the monitor height guide; the stand’s only job is to move the laptop’s screen onto that line.
The moment you do that, the built-in keyboard goes up with the screen and out of useful reach — which is the intended consequence, not a side effect. So you add an external keyboard and an external mouse on the desk below the raised laptop, at your actual elbow height. Now the screen obeys the monitor line and the keyboard obeys the keyboard line, because they are finally two objects and you have put each where the standard points. The stand did not fix your posture. It fixed the screen. The keyboard fixed the rest.
Fix B: add a monitor, demote the laptop
This is the setup for when you want a bigger or higher screen than a 13-to-16-inch laptop panel — and it turns the laptop’s welded-together problem into an advantage.
Put an external monitor at eye level, on a stand or a monitor arm, set to the same at-or-slightly-below-eye-level line. That screen is now your main display and it meets the monitor line by itself. The laptop stops being the thing you stare at, which frees it to do one of two things.
You can keep it open beside or below the monitor as a secondscreen — and because it is secondary, glanced at rather than read for hours, it is allowed to sit lower, where OSHA’s monitor band matters less. Or you can close it entirely and run it in clamshell mode: lid shut, stood on its edge in a vertical holder or simply parked, with the external monitor doing all the seeing. Either way you still type on a keyboard at elbow height. If the laptop is open and low enough that its own keys sit at your elbows you can use those, but most people add an external keyboard and mouse here too, because a closed or side-mounted laptop has no keyboard within reach at all.
The line both fixes share: the keyboard comes down
Whichever route you take, the same thing happens to the keyboard: it ends up down at your elbows, separate from the high screen. In Fix A that is forced — the keyboard you type on cannot be the one bolted to the raised laptop. In Fix B it is nearly always true as well, because your main screen is now the external monitor and the comfortable place for your hands is a keyboard in front of you, not one attached to a laptop off to the side.
This is why an external keyboard and mouseare not accessories to a laptop workstation. They are the part that makes it a workstation at all. OSHA’s keyboard line — “elbows should be about the same height as the keyboard” — becomes unreachable on the laptop the instant the screen goes up, so the external keyboard is the second half of every setup on this page. Set it so your forearms are roughly level and your wrists stay straight; if your desk is too tall to get your elbows down to the keys, that is a desk-height problem, and the whole ordering is on the ergonomic desk setup page.
The reason all of this is worth the trouble lands in OSHA’s good-working-positions guidance, which describes a neutral seated posture: feet flat on the floor or a footrest, thighs roughly parallel to the floor, and the head balanced over the spine rather than craned forward. A bare laptop on the desk pulls the head down and forward to read a low screen; raising the screen to eye level is what lets the head sit back over the spine where that guidance wants it, and dropping the keyboard to your elbows is what lets the shoulders come down at the same time. Neither fix is doing anything exotic. It is just letting you sit the way that page describes, which a laptop by itself actively prevents.
Docking, so the fix survives you leaving the desk
The catch with a laptop is that it leaves. The whole reason you own one instead of a desktop is that it goes to the sofa, the kitchen, the office, the train — and a workstation you have to reassemble by hand every time you sit down is a workstation you will stop using within a week.
That is what docking solves. Instead of plugging in a keyboard, a mouse, a monitor and a charger one cable at a time, you route all of them into a dock or a single hub and connect the laptop to the desk with one cable. On many current laptops a single USB-C or Thunderbolt cable carries the external display, the keyboard and mouse, the network and the laptop’s own charging power at once. Dock in the morning and the stand-and-keyboard geometry of Fix A, or the monitor-and-keyboard geometry of Fix B, is simply there. Undock in the evening by pulling one plug. The ergonomics you set up survive the portability that made you buy a laptop, instead of being surrendered to it.
In clamshell setups — Fix B with the lid closed — the dock is doing more than keeping the desk tidy. It is the only thing giving you a screen, a keyboard and a mouse at all, since the laptop’s own are shut inside. That makes the one-cable approach less of a luxury there and more of the load-bearing part of the setup.
Which fix is yours
Short version: how many screens do you want to look at, and do you already own a monitor?
If the laptop is and will stay your only screen, Fix A is the whole answer — a stand that gets the screen to eye level and an external keyboard and mouse below it. If you want more screen than the laptop panel gives you, or a monitor is already sitting idle on your desk, Fix B is better, and the laptop becomes either a modest second screen or a closed box feeding a proper display. Plenty of people run a hybrid: laptop on a stand as the second screen, external monitor on an arm as the first, both set to the same eye line. Common questions
Can't I just prop the laptop up on some books?
You can raise the screen with a stack of books, and if your only goal is to stop craning your neck for a ten-minute email, that is fine. But a book stack raises the screen and the attached keyboard together, so at the height where the screen is right, the keys are up around your chest. You have moved the problem from your neck to your wrists and shoulders. The fix is the same as it is with a proper stand: add an external keyboardand mouse on the desk below. Do I need an external monitor, or is a laptop stand enough?
A stand plus an external keyboard and mouse is a complete fix on its own, and it is the right one when the laptop is your only screen — the stand puts the display at eye level and the keyboard sits at your elbows. An external monitor is the other fix, for when you want a bigger or higher screen than a laptop panel, or you already own a monitor. You do not need both. You need one screen at eye level and one keyboard at elbow height, and either route gets you there.
Should I use the laptop closed (clamshell) or open as a second screen?
It depends on whether you want the extra display. If you have an external monitor doing the main work and you want the laptop out of the way, close it and run it in clamshell — lid shut, keyboard and screen tucked away, the monitor doing all the seeing. If you want the laptop’s screen as a genuine second display, leave it open and let it sit lower than the monitor: a screen you glance at rather than stare at does not have to meet the eye-level line the way your main one does. Both are valid; they answer different questions about how much screen you want.
Where should the external keyboard actually go?
Down at your elbows, in front of you, below the raised laptop or the monitor. OSHA’s line is that “elbows should be about the same height as the keyboard and hang comfortably to the side of the body”, with the wrists kept straight. If your desk is too tall to get your elbows down to the keys, that is a desk-height problem rather than a keyboard one, and the order to set it in is on the ergonomic desk setup page. Pair it with an external mouse at the same height so one hand is not reaching while the other rests.
What is the point of a docking station?
A laptop leaves the desk — that is the whole reason you own one — and a workstation you have to rebuild by hand every morning is one you will abandon by Wednesday. A dock, or a single USB-C or Thunderbolt cable, carries the external screen, the keyboard and mouse, the network and the laptop’s own charging power at once. You connect one plug and the whole geometry is there; you pull one plug and you leave. In a clamshell setup the dock is doing more than tidiness — it is the only thing giving you a screen and a keyboard at all, since the laptop’s own are shut inside.
