Work-from-home desk setup checklist

Your first week working from home does not need a shopping spree. It needs the free adjustments done in the right order, because most desk comfort is geometry you already own. Here is the sequence — chair and desk height first, then the screen, then your hands, then lighting and cables — with the spending deliberately at the end, where it belongs.

The first day working from home usually triggers the wrong instinct: open a shopping tab and buy an ergonomic everything. Resist it. Most of what makes a desk comfortable is not a purchase — it is geometry you already own, adjusted in the right order. Almost every complaint a new remote worker has in their first week traces back to a free adjustment nobody made, not a product nobody bought. So this is a checklist, and the order is the whole value of it.

The principle is bottom-up and free-first. A seated body stacks: where your feet and hips sit decides where your back sits, which decides where your shoulders and hands land, which decides where your eyes end up, which is the only thing the screen should be set to. Do it in that order and every step rests on a stable one below it. Do it backwards — set the screen first, then adjust everything under it — and each change lower down moves the eyes you already aimed the screen at. Money comes last, deliberately, because you should only ever spend on a gap the free adjustments genuinely could not close.

Step 1 — Chair and desk height (free, and first)

Start at the bottom, because it decides everything above it. The target is simple: your forearms should be about level with your work surface when your shoulders are relaxed. OSHA describes the neutral position as one where the “hands, wrists, and forearms are straight, in-line and roughly parallel to the floor,” with the “shoulders… relaxed and upper arms hang[ing] normally at the side of the body.”Set your chair height until that is true — forearms level, shoulders not hitched up to reach.

Now check your feet. Because most desks are built to one fixed height that is taller than a lot of adults need, raising your chair until your elbows meet the desk often lifts your feet off the floor. OSHA’s posture wants the “feet… fully supported by the floor or a footrest… if the desk height is not adjustable,” with the “thighs and hips… supported and generally parallel to the floor.”If your feet now dangle, do not drop the seat back down — that pulls your elbows below the desk and undoes step one. Put something solid under your feet: a box, a ream of paper, a proper footrest. Step 2 — Screen height and distance

With your body set, and only now, place the screen to the eyes that resulted. OSHA gives two figures. Height: the “top of the monitor should be at or slightly below eye level,” so when you sit up and look straight ahead, the top of the glass is about level with your eyes and your gaze falls gently rather than dropping to your chin. Distance: the “preferred viewing distance is between 20 and 40 inches,” roughly an arm’s length — close enough to read, far enough that your eyes are not straining to converge.

For a lot of people this step is free too: raise a low monitor on a sturdy stack of books tonight, or slide a too-close screen back to arm’s length. If the text gets small at that distance, scale it up in the operating system rather than dragging the panel toward your nose. Step 3 — Keyboard and mouse position

The keyboard’s job is to let your hands sit where step one put them: forearms parallel to the floor, wrists straight and neutral, elbows near your sides. That mostly means the keyboard is directly in front of you, close enough that you are not reaching for it, and flat or even tilted slightly away rather than propped up on its little feet — those raised feet bend your wrists upward, which is the opposite of the straight, in-line wrists OSHA describes. The mouse sits right beside the keyboard at the same height, not out on a higher surface that hitches your shoulder up to reach it.

Notice how much of this was already decided in step one. Whether your wrists can be neutral with your shoulders relaxed depends on the chair-and-desk height you set first; the keyboard step is mostly about not spoiling it. If you find your wrists cocking up or your hands reaching, the fix is usually a height problem from step one, not a new keyboard. When a genuine hardware gap does show up here — wrists that will not stay neutral, a mouse grip that aches — that is a step-six decision, not a first-week panic buy.

Step 4 — Lighting

With the body and screen set, look at the light, because two lighting problems make a well-arranged desk uncomfortable anyway. The first is glare: a window or a lamp reflecting off the screen forces your eyes to fight the reflection. Turn the screen so windows are to the side rather than directly in front of or behind it, so you are neither staring into the light nor catching its reflection in the glass. The second is contrast: a bright screen in a dim room is a lit rectangle in the dark, and your eyes re-adjust every time your gaze crosses the bezel. Bringing the room up to meet the screen, or the screen down to meet the room, closes that gap.

A lot of this is free — reposition the desk, add a lamp you already own, turn an over-bright panel down. Step 5 — Cable tidy

This is the least ergonomic step and the one most worth doing anyway, because a tangle of cables under the desk is what stops you moving the setup later — and moving, changing position, standing up, is the thing that matters most over a full day. Gather the power and video leads, keep enough slack that the monitor and laptop can still be adjusted, and get the strands off the floor by your feet so your legs have room and your footrest sits flat. It takes ten minutes and it is the difference between a desk you can re-arrange and one that is welded in place by its own wiring.

Step 6 — Only now, what to upgrade

With five free steps done, you can finally see what is actually missing — and it is far less than the shopping tab wanted you to buy on day one. Now the gaps are real ones: a chair that genuinely cannot support your lower back no matter how you set it; a desk too tall to fix with a footrest; a laptop that needs a stand and a separate keyboard; a mouse that does not fit your hand. Those are worth spending on, because you have proven the free adjustments could not close them.

Spend in that order too — the thing your body contacts most, first — and keep it lean. The whole checklist, in order

  1. Chair and desk height— forearms level with the desk, shoulders relaxed, feet supported (footrest if the desk is fixed and too tall).
  2. Screen height and distance— top of the screen at or just below eye level, about an arm’s length away; lift a laptop onto a stand.
  3. Keyboard and mouse— in front of you, wrists straight and neutral, mouse at the same height alongside.
  4. Lighting— windows to the side to kill glare; ease the contrast between screen and room.
  5. Cables— tidied, with slack to adjust and clear of your feet.
  6. Upgrades— only the gaps the free steps could not close, bought in order of what your body touches most.

Get the screen off the desk. A laptop flat on a desk forces your eyes and neck down all day, and no posture fixes it. Lift it on a laptop stand to bring the screen toward eye level, then add a separate keyboard and mouse so your hands can stay low. That single change is the highest-value move for a laptop-only setup, and it comes before anything else you might buy.
